Creating a shipment on Ozon Global: from application to warehouse intake

3 min read

Shipments to Ozon warehouses must be arranged via the seller portal: create request → label boxes with labels from the portal → deliver to the warehouse or drop-off point. The most common reason for request rejection is barcodes: exceeding 100 characters, duplicates between stores, or missing entirely.

Step-by-step

  1. Check product barcodes: ensure they are uploaded, under 100 characters, and have no duplicates.
  2. FBP → Create shipment request; the portal will show the average delivery time to Moscow for each warehouse.
  3. For a bonded warehouse, ensure all conditions are met; for UAE, sign a contract with the warehouse in advance.
  4. After confirmation, download the labels and mark each box with a unique label.
  5. Deliver at the agreed time; drop-off points (Xingyuan, Ural, GUOO) are subject to arrangements with the partner.
The 'Download labels' button does not appear, If a barcode is longer than 20 characters or duplicates a barcode of another product in your stores. This must be fixed before creating the request, not after.

Frequently asked questions

Can I bring more items to the drop-off point than stated in the request?

No, receiving is based on the request. Excess items will not be accepted, and shortages are considered a discrepancy. Rule: the request must be based on what is actually packed, not on plans.

How long does an unused request remain valid?

Drafts and rejected requests that remain inactive are deleted after 30 days. Re-creating them is easy, but box labels are linked to the request — old labels will not work for a new request.

What should I do if the warehouse rejects the request?

Open the 'Errors' tab, download the SKU report, fix the issues, and create a new request. Typical reasons include barcodes and dimension discrepancies.

Why was my shipment request rejected by the warehouse?

The most common reasons for rejection are barcode issues, such as missing barcodes, duplicates between stores, or barcodes exceeding 100 characters. You should check the 'Errors' tab in the portal to download a report and fix these specific issues before creating a new request.

What happens if I have a request with the status 'Needs editing' that I do not fix?

If a request remains in the 'Needs editing' status and stays inactive, it will be automatically deleted after 30 days. You will then need to create a new request, noting that old box labels will no longer be valid.

Can I change my shipment request after I have already created it?

You can edit your request at any time until it reaches the 'Warehouse receiving' status. Once the status changes to 'Warehouse receiving', the request can no longer be edited.

What are the requirements for product barcodes before I create a shipment request?

Barcodes must be uploaded, contain no duplicates across your stores, and be under 100 characters in length. If a barcode exceeds 20 characters or duplicates an existing one, you must fix it before initiating the request.
